Overview  

Folders in VIDIZMO provide similar tasks to actual, physical folders. Different formats of evidence can be organized and stored in folders. Additionally, folders may also contain additional folders or evidence. Folders are also referred to as simple file directories due to the way they arrange and store data and provide convenience to organize evidence. Managing evidence within the folders also helps in organizing the case in a better way.  


Prerequisites

  • You must possess a Contributor+ role to utilize this functionality.

Folder Creation   

  1. Click on dropdown 
  2. Select Create folder 
  3. Give the title of the folder 
  4. Click on Create folder 




Note: You can create folder in evidence library, home, within any case or any folder.If moderation is on, folder will go on moderation 


Moving a Folder to Desired Location  

  1. Click on the overflow menu 
  2. click on move 
  3. select the case, folder, or sub-folder 
  4. click on the move here 



Folder Inspection  

  1. Go to any folder and click on inspect. You’ll be directed to the playback page.
  2. Explore and view the content of sub-folders as well by clicking on them. 
  3. You can also explore sub-folders by clicking on the load folder. 





Chain of Custody 

  1. Click on the overflow menu  
  2. Click on a chain of custody to view all the logs  



Flagging a Folder   

  1. Click on the overflow menu 
  2. Click on flag 
  3. Enable the actions that you want to be notified about or Enable All 
  4. Click on Update



Change category  

  1. Click on the overflow menu 
  2. Click on Change category 
  3. Select the desired category   
  4. Click on update and the category will be changed for the folder. 




Copying a Folder  

  1. Select any folder 
  2. Click on Copy in the top menu bar 
  3. Select a location for copying into your portal 
  4. Select Metadata
  5. Click on a copy here 






Delete & Restore 

  1. Click on the overflow menu   
  2. Click delete  
  3. From the recycle bin, click the overflow menu and select restore  
  4. Select the location where you want the folder to be restored and click on restore here.  





Note: when restoring a folder, evidence which r, you’ll be asked to select location if the parent case/folder no longer exist otherwise it’ll be restored directly.


Limited Share

  1.  Click on the overflow menu 
  2. Select limited share  
  3. Generate limited share license  
  4. Click on Save Changes and close  




Note: The license created on case or folder will be inherited to its content as well. 


Drafting a Folder

  1.  Click on the overflow menu   
  2. Go to settings  
  3. Check the “Save as Draft” checkbox   
  4. Click save & close
  5. To view the drafted folder, go to the Draft tab. Here, you’ll see your drafted folder  




Access Rights to Folder/Case

The flexibility of folder access rights extends to evidence files as well. Enabling the toggle for inheriting main (parent) folder access rights on evidence files streamlines the process of managing permissions. Users can easily decide whether an evidence file should inherit rights from its main folder or maintain its individual access settings.


  1. To configure access rights, navigate to the folder settings or access the ellipsis (...) menu on the specific evidence file. Choose "Settings" from the dropdown menu to set up individual access rights for the evidence file.



2. Proceed to the "Access and Sharing" tab.

3. Enable the toggle to either inherit access rights from the primary folder/case or tailor the settings to establish custom access rights.

4. Click Save and Close to save settings.


Security Policy to Folder/Case

Users can modify portal security policy settings. This adaptability allows users to apply updated security policies to folders, non-folder content, or all content. Alternatively, users can update security policies relevant to newly added content and folders. 

The following options appear while your portal security policy for viewing access to both folder and non-folder content, and click the confirm button to update it.
