Introduction

Administration, control and management of major/minor options in a Portal plays a key role in application management with respect to an organization. The level of granularity with which the functions, settings, rules and procedures can be defined eases the process of streamlining how an organization uses the system. 

This can only be achieved by varying role definitions of each user to equip them with different levels of authoritative and contributive options within the Portal.

User Roles determine the access level and permissions of a person authorized to use VIDIZMO. In a default VIDIZMO installation, there are certain predefined roles assigned to users with a default set of permissions. These roles can also be configured as per the needs of the organization.

About VIDIZMO User Roles:


Roles are granted permissions that enable users of that specific role to perform various functions within the application. The assigned permissions define a particular function within the Portal. For instance, a Manager is likely to have permissions relevant to managing VIDIZMO Portals.

VIDIZMO's default user roles include:


  1. Administrators
  2. Managers
  3. Moderators
  4. Contributors
  5. Viewers
  6. Anonymous

Note: Every role has certain capabilities, access levels, and permissions that allow the user to complete various tasks.Public/Anonymous Access is not available in the VIDIZMO Digital Evidence Management (DEMS) product package. Customize these roles to meet your business needs. Administrator

Administrators are Account (main portal) owners. An Administrator has full control over the application and can access all functionalities. The role of an Administrator within EVCM product is pivotal, as they hold the primary ownership of the main portal. With a comprehensive scope of control, Administrators possess complete command over the application, granting access to all functionalities, which include full control over Media Management, Users and Groups Management, Account Settings, Analytics, Control Panel, and Billing Reports.

Within DEMS, the Administrator role focuses on handling user-related tasks, such as managing user profiles, adding, changing, and removing users. This role is different from EVCM because, in DEMS, it doesn't involve direct control over Media Management like in EVCM. 

 

Moreover, Administrators also handle tasks like IT Administrators by configuring, monitoring, and securing your system. Additionally, Administrators have permission to manage Email Templates, Streaming Servers, Audit Logs, Transcoding processes, Workflow Queues, and Login Settings, among others.  

Hence, Administrators in both EVCM and DEMS contribute uniquely to the seamless functionality and security of their respective systems. 


Note: In EVCM, the role hierarchy consists of Admin, Manager, Moderator, Contributor, Viewer, and Anonymous Viewers. In contrast, within DEMS, the hierarchy includes Manager, Admin, Moderator, Contributor and Viewer.


Managers

Managers are specific portal owners who are typically responsible for regular operations such as managing users, media, portal settings, monitoring usage via analytics etc. They can create, edit, delete, or brand Portals as per business needs. Managers have full rights to control and manage media content, such as publishing or deleting any media, scheduling a live webcast in EVCM product, changing access permissions etc., for all media uploaded in their assigned Portal. Managers have a wide range of control, including over categories, groups, roles, email templates, user-generated content, tags, comments, and Limited Sharing. This helps them carefully manage and share content. To understand Media Management, refer to Understanding Media Manager.

 

Moreover, Managers are also responsible for managing User Registrations and moderating comments and content uploaded by Contributors. In the context of media, they have full control over all types, including video, audio, images and documents. Notably, Managers within the Digital Evidence Management Systems (DEMS) product possess the additional capability to flag specific content items.  

 

Importantly, DEMS Managers handle user registrations and approvals, setting them apart from EVCM Managers. They also oversee comments and content from Contributors, ensuring compliance and relevance.


Moderators

A Moderator performs the support role for Managers. Their responsibilities cover several key functions across both the Enterprise Video Content Management (EVCM) and Digital Evidence Management Systems (DEMS). Moderators have access to Media or Evidence Management. 

 

In EVCM, Moderators exercise a range of permissions, including publishing content, editing settings, and moderating both media and comments. In the DEMS context, they moderate evidence and notes on top of other tasks like publishing content and editing settings. 

 

Note: Media or comments submitted by users with Moderator+ roles don't require moderation. 


Contributor

A Contributor role serves as an enhanced Viewer equipped with the additional capability to publish and edit their uploaded content and personal profile management. Contributors are granted the authority to not only view content but also to publish and edit their own uploaded materials.  

However, the content submitted by Contributors might require approval from the Moderator+ roles depending on Portal Settings.  

 

Note: Once the content is approved and published, if Contributors edit their content, such as its basic information, the media will be unpublished and resubmitted for moderation. 


Viewer

A Viewer is a regular end user of your portal who views media content published in a Portal. A Viewer can either be an anonymous or authenticated user with limited permissions to view content they have access to. In addition, Viewers can manage their Profiles, view media assigned to them and view their Personal Viewing Reports. This role extends to viewers both inside and outside the portal.  


Anonymous Viewer

Anonymous Viewer is a non-authenticated user who has restricted access to only view public media on any Account/Portal. Anonymous Viewers can view protected media by entering a valid password if the Viewing access in the Security Policy is set to Anonymous Viewers. 

 

Note: Administrators can choose to require a simple password before anonymous viewers can view any public media. However, this is still considered anonymous viewing since there is no user identification or authentication involved. 

 

User Roles play an important role in Vidizmo’s products because they decide who can do what in VIDIZMO. When you set up your portal, there are roles already defined with certain permissions. You can also change these roles to match what your organization needs. Think of user roles as the basic building blocks that help make VIDIZMO work the way you want it to.
