Overview

If you need to copy evidence within your portal or to another portal within the same account to share it with a specific group of people, you can easily do so by selecting the desired location. To provide greater control, a dropdown menu is now available to select the specific metadata you wish to copy with the evidence. This allows you to selectively copy relevant information along with the evidence. Additionally, as a member, you now have the ability to copy evidence to a hidden portal.


Note:
You cannot delete evidence during the copy process.
Publish and View Settings of the destination Portal are applied on the copied evidence.
You can also copy Single/Bulk Folder in EVCM product package in the similar way.


Roles & Permissions

Contributor+ users can copy the evidence within the portal, to other portals of the same account in which they are a member or to a Partner Agency.

Steps to Copy Evidence

Step I

  1. Go to Evidence Library
  2. Choose the video you want to copy and click on the overflow menu next to the video.
  3. Now select copy from the overflow menu.


 

 

Step II

Once you click on copy, a copy modal will be opened.

1. List of all the account portals that the user has editing rights for:

When copying content, the user can easily access a list of all the account portals in which they have editing rights. This can help them to quickly locate the source of the content they want to copy and ensure that they have the necessary permissions to access and copy it.

2. List of cases and folders within the selected portal:

When copying content, the user may need to navigate through different cases and folders to find the content they need. The list of cases and folders within the portal can help them to quickly locate the content and ensure that they are copying from the correct source.

3. A button to add hidden account portals that the user has editing rights for:

If the content the user wants to copy is stored in a hidden account portal, they can use the "Add Portal" button to reveal the portal and gain access to its content.

4. The ability to create new cases or folders:

When copying content, the user may want to create a new case or folder to store the copied content. This can help to keep the content organized and make it easier to find later. For example, the user may create a new folder for copied images or a new case for copied documents.

5. Sorting functionality:

If the user has copied a large amount of content, they may want to use the sorting functionality to organize it by Title or Most Recent. This can help them to quickly find the content they need and ensure that it is properly attributed.

6. A search function to find relevant folders and cases:

If the user is looking for specific content to copy, they can use the search function to find relevant folders and cases. This can save time and ensure that the user is only copying content that is relevant to their needs.

7. A filter function to sort cases and folders based on categories, status, format, and author:

Like sorting, the filter function can help the user to organize and find the content they need. For example, they may filter by author to find content from a specific source, or by format to find content in a particular file type.

8. A dropdown menu to select metadata:

When copying content, the user may need to include metadata such as keywords, tags, or descriptions. The dropdown menu can provide a list of predefined metadata options to choose from, making it easier to copy the selective metadata only.

 


Step III

Metadata Dropdown

Select the desired metadata that you wish to copy along the evidence or folder

  1. Click on dropdown.
  2. If you wish to select the whole metadata group, simply check Select All. Checking the group will check all the sub metadata.
  3. If you wish to select limited metadata from a group, just check it instead. By default, Only Basic Metadata group will be selected but you can always uncheck it.



List of Metadata that can be copied are mentioned below:

  • Insights: OCR, Transcription, Face, Brand, Emotion, Sentiment, Label, Topic, Keyword, Speaker, Annotation, Object, Person, Language
  • Interactivity: Handout
  • Weapon: Gun, Knife
  • Vehicle: Car, Bike, Bus, License Plate, Truck
  • Basic Metadata Selected by Default: Custom Attributes, Tags, Description, Category
  • Location: Drone
  • Redacted Audio: Audio Segment
  • Plugin: HubSpot, Text Overlays
  • Comment: Notes


Note: When you select single or bulk mashup(s), the metadata dropdown will display all the metadata that exists in the selected mashups only.
When copying folders, all possible metadata that can exist in the folder as well as the contents in the folder will be displayed in the dropdown.


Step IV

Copy Evidence to a Hidden Portal

You can Copy evidence & folders in hidden Portals in which you are a user & have the right to copy as well.

  1. Click on Add Portal.
  2. Add the URL of that portal and click on Add Portal Button
  3. Your portal will be added, and you’ll be able to copy it.
  4. You can also select the metadata from the dropdown.

Note: Your portal will only be added in the list of portals if the URL is valid, you’re a member of that portal and you have Contributor+ role in the hidden portal.


Step V

Copy Evidence to Another Portal within the Same Account

Follow these steps :

  1. To copy a video or folder, select it and click on the overflow menu. From there, choose the "Copy" option as outlined in the preceding section of this document.
  2. Click on the target portal from the list of available portals displayed under the portal section.If the desired target portal is not listed, follow the steps mentioned in the "Copy Evidence to a Hidden Portal" section to add the portal to your account.
  3. Click the "Copy Here" button to commence the copying action.
  4. The evidence/folder, including videos and folders, will be copied to the selected portal.



Step VI

Copy to a Partner Agency’s Portal 

You can now share a copy of the evidence with your Partner Agency, but first, you must configure Partner App. To learn how to configure Partner App, click on How to configure Partner App in VIDIZMO. 

  1. From Partner’s Portal section, Select the Portal in which you want to copy evidence.
  2. Select the metadata.
  3. Select the user to whom you want to give the ownership of the evidence.
  4. Click on Copy Here button.

 


View Evidence In Your Partner Agency

      5. A new folder will be created with the Name of you Portal in your Partner's Portal in which you can find your copied                  evidence .

6. You can view evidence  shared by you in your Partner Agency’s Portal in a separate section called “Partner Agency” as       well as Evidence Library

Step VII

Anonymize Notes when Copying in Partner Agency

  1. Select notes from the metadata dropdown.
  2. A checkbox will appear to Anonymize notes.

This will hide the user identity of the note-taker.


 


Note: Partner App Feature is only available in DEM product package.


Result

Now that you have successfully copied;

Once the video copy process is completed, an email will be sent to you about the completion process.


 

  1. Select the Portal where you copied your video and then navigate to its Evidence Library or the specified location.
  2. In the Evidence Library or the specified location, the recently copied evidence or folder becomes available.
